Delegate Coordinator

Salary: £22,000 - £26,000

Description: Our client is keen to recruit a Delegate Coordinator to join their dynamic team, where you will lead the delegate team on each assigned project in the creation, management and successful delivery of event registration, attendee management and technology projects. The role plays a great part in orchestrating and executing events, including congresses, investigator meetings, and advisory boards. This position demands a strategic thinker, effective communicator, and meticulous organiser with an interest or experience in data management You will be responsible for partaking in client update calls for assigned projects, confidently delivering the status of event registration & supporting the delegate manager in the preparation and delivery of update calls for their projects, understand client business objectives & project specific purposes delivering against these throughout, pro-actively communicate with clients to resolve queries/challenges on allocated projects and escalation to Delegate Manager as required, attend the ‘kick-off’ meetings internally and externally to understand all requirements for assigned projects, support Delegate Manager during kick off meetings as required, take ownership for requirement gathering templates and documentation utilised in the briefing process for project based on detailed knowledge of processes and experience in delegate management programmes, produce project timelines in conjunction with assigned Project Manager and oversee the creation and management of timelines within the team, supervise the creation of effective delegate communications throughout the lifecycle of projects, pro-actively suggesting improvements and changes to suit client requirements and objectives, provide updates or registration data and summaries, Ensure all websites are effectively tested and documented, including client feedback, manage, check and cleanse all external data received from clients and/or suppliers, manage the delivery of status reports, progress reports, post-event reports & supplier reports as standard, ensuring all deadlines are met, ensure post-event reconciliations are provided accurately and within client SLAs, clearly showing negotiated cost savings and value adds as required, management of post-event surveys working with internal teams to produce actionable feedback results and analysis. Description: Our client is a dynamic, creative Marketing and Events agency who support world leading organizations to create innovative, engagement communication projects. Within this role you will lead the delegate area on each assigned project or workstream creating, maintaining, and successfully delivering the event registration, attendee management and technology services. Tasks - Work closely with the governance team to ensure all processes and templates are being used and communicate any changes promptly to teams. Ensure compliance with all client and company SLAs. Manage all client and attendee data in a sensitive and careful manner utilizing all quality and security processes in place. Lead client update calls for assigned projects confidently delivering the status of the Delegate elements. Supporting as required in the preparation of RFP responses & pitch documents. Description: Event Operations Project Manager Our client is a dynamic, creative Marketing and Events agency who support world leading organizations to create innovative, engagement communication projects. In this role you will report into the Senior Project Manager, plan and execute varying size of virtual or live events from conception through to completion. We are excited to speak to dynamic candidates from an agency background who have worked with Pharma Clients. Additional requirements are experience of working in Congress Management. Ideally you will have used Cvent or similar. Tasks - Support the Account Lead with client relationship building. Good understanding of the scope and project objectives and establish clear roles and responsibilities for project team members. Set, communicate, and drive timelines and priorities within each project. Lead regular project status meetings throughout project life cycle and ensure clear and fluid lines of communication between departments are deployed. Build and maintain effective supplier relationships, manage contracting and ongoing communications with all third-party suppliers, leveraging volume discounts, undertaking contract reviews, and checking emergency procedures. Maximise revenue opportunities on all projects. Project resource management – good understanding of project team capacity and effectively notify operations lead if any concerns re sufficient levels of support allocated to your job. Conduct full debrief with internal team prior to client de brief and provide live examples of where improvements can be made. Manage any post event reporting requirements within timeframe supplied. Manage reasonably complex budgets which may pull together multiple workstreams. Provide quotes for any additional/ out of scope items ensuring associated management fees are added.
